User Authentication
Authentication is your personal login that will give you access to Microsoft 365. Authentication is managed by your company's IT administrator or third-party cloud service provider.
User Authorization
Business Online has a role-based authorization principle. The matrix below shows an overview of all roles and their access levels. This is a standard setup that can be changed according to customer preferences.
Access Matrix for Business Online
All Users
All users in Business Online will have contribute and read access to most lists and workspaces in the system. Some functions and workspaces can, however, be restricted to the roles below or shared with a defined set of users.
Intranet Authors
The Intranet Authors role has contribution access to the Home page and the Landing Page module. This role is intended for users responsible for authoring and maintaining content on the intranet's home page and landing pages, such as news posts, shortcuts, and other front-page content.
Contract Manager
The contract manager role has contribution privileges related to the contract list and contract workspace. All members will have access to view contract lists and content, but will not have access to the contract workspaces.
HR
The HR role has access and can contribute to the personnel list and related workspaces. All users will be able to read HR-related news from the HRM module and register an anonymous case in the QHSE module's reporting form. All posts in the anonymized reporting form will be anonymized by the system and cannot be traced back to the issuing party.
QHSE Manager
The QHSE manager role provides access and can contribute to the reporting list, related workspaces, and the anonymized reporting list. All users can contribute items to the reporting list but will not be able to delete anything.
Document Controller (QDMS)
The document controller role will have access and can contribute to the document profile. The user can issue new controlled and governing documents through approval processes as described in the function description. All users will have access to view controlled and governing documents from a dedicated document library for governing documents.
PowerBI Security
The PowerBI Security role has read-only access to the PowerBI Workspace. This role is intended for users who need to view PowerBI reports and dashboards without being able to modify their configuration or underlying data.
System Admin
The system admin role is the highest authorization a non-IT administrator in the organization can have. This role has full control of most functions in Business Online except the personnel list and related workspaces, the anonymous reporting list, document profile, and governing documents. This role is intended to enter essential metadata and quality checklists into the system.
