Introduction
The contact list is a basic list like all CRM lists. The function is quite simple: store general operational data about external contacts in the companies list. The functionality of the list is limited, but it is used to link other parts of the system to individuals so that their contact information is available in the workspace.
The Contact List
Each contact in this list represents an external contact person in a company. Their contact information, role in the company, and legal basis for storage are recorded here.
Form
To create an item, click "+ New" in the list and enter it in the form.
| Field | Description |
|---|---|
| Main Contact | Check this field to set this contact as the main contact for the company. |
| Log | Text field that records entries in a log-like list each time the form is saved. |
| Legal Basis | GDPR legal basis for storing personal data about the contact. |
| Contact Name | The contact's full name. This is the title field of the list. |
| Job Title | The contact's official title in the company |
| Status | Indicates whether the contact is active in the company or no longer works there. |
| Company | Select the company this contact is associated with. If the company is not available in the lookup field, you must navigate to the company list to create the company to make the option available. |
| The contact's work or personal email. | |
| Phone Number | The contact's work and/or personal phone number |
| Address | The contact's home/mailing address |
Main Contact
By checking main contact, you indicate that this contact is the main contact for the company. This contact will also be referenced in the information card component in the company's workspace.
A contact generated from the main contact field when creating a company will have main contact checked by default.
ℹ️
Checking who is the main contact among several contacts in the same company is possible. However the components will show the first active contact that was created if there are multiple main contacts for a company.
Log
Each time you add text to this field and click save, a log-like list will appear below. The list can be used for whatever is considered valuable. Below is an example where the log is used as a change log for other employees who want more information about the contact.
Searching
The contact list uses the standard SharePoint search engine located at the top of the page. Enter your search criteria here to filter the list.
Read more about SharePoint search in the list-search section.
ℹ️
To search for partial strings ("Nor" instead of "Nordmann" for example), add the character * before or after your letters in the string. The search field will handle it as "anything before/after these letters." If you do not use the * character, the search may not return results because it only does exact matches and not partial searches.
