User and group management is an essential function that maintains a good overview of who has access to the system and whether a user has an additional role access.
Access Groups in Business Online
Access in Business Online is built around roles, where each role is linked to a technical group that determines what the user can access. Below is an overview of the different groups and what they give access to.
All Business Online is the standard membership that everyone receives. This role gives contribute and read access to most lists and workspaces, and covers what most people need in their day to day work.
Contract manager uses the technical group of the same name and gives access to the contract list and its associated workspaces. Suitable for those responsible for following up on contracts.
HR gives access to the personnel list and related workspaces, as well as notifications from anonymous reporting. This role is reserved for those working with personnel matters.
QHSE manager gives access to the reporting list and related workspaces. The role is intended for those who follow up on quality, health, safety and the environment.
QDMS-DC gives access to the document profile, with the ability to create, edit and distribute controlled documents.
System admin gives full control over most functions. The exceptions are the personnel list, anonymous reporting and the document profile with controlled documents, which fall outside this role.

Access control in Business Online is primarily set by predefined M365 groups that the customer or third party manages. Secondly, workflows can restrict access to members defined by the end user for any project workspace where restricted is enabled.

System administrator is the only role that has permission to manage these groups.
