Introduction
Under the heading BO Configuration you will find a number of high-level definitions that are used throughout the system.
Options
Almost all of the options below are item types of main lists in the system. An item type is used to distinguish the item both in terms of being able to filter in views and to customize the content in the workspace. Each item type can be linked to a quality control plan (QCP) and a unique folder structure. This will be covered in a later section.
Item Types
- Project Type *
- Company Type *
- Contract Type
- Personnel Type *
- Lead Type
ℹ️
* For these dropdown lists, there is also an option to select a workspace template. There is almost always only one option here to choose from, which must be selected in order to save. Contact your main contact if there is more than one choice here to clarify how to use it.
Department
Department is a field used in several parts of the system.
Adding, editing, or removing items from this list will update the selection value for other lists in the system that have a department selection.
ℹ️
The component is specifically configured for the standard lists in the system. A new dropdown field called Department in a new list will not automatically be affected by changes in the Global Attributes component.
This dropdown list contains all the departments in your organization. Changes to this list will be reflected in the following lists in the system:
- Projects
- Personnel
- QHSE Reporting
ℹ️
This list must not be confused with department under QDMS configuration. The department list used by governing documents may sometimes be different in various operations and is therefore separate.
Project Type
This list has two main functions
- Define the project types that are available for new projects
- Link project types to one or more departments
When you create a project, the project types will not be available for selection until you have selected a department. This is where you define which project types should be shown for each department.
ℹ️
Some project types are "universal" and are used across many departments. It is common practice to keep a project type that is never linked to a process for simpler projects, which can be called, for example, "No process" or similar.
Company Type
This list contains all the company types that should be available for selection in the Company List in the CRM hub. Typically, the list looks like this
- Customer
- Supplier
- Partner
- Competitor
- Prospect
- Own Company
ℹ️
The supplier option affects the Company form and the selection is used to determine when the supplier evaluation fields should be loaded when you edit a company. Because of this, it is not recommended to change or remove this option.
Contract Type
This list contains all the contract types that should be available for the contract list. Typical values in this field will be
- Standard Contract
- SLA
- NDA
- MSA
It is rare that these contract types require any other quality control plan than the contract's lifecycle, but it is still useful for differentiating the contracts.
Personnel Type
This list contains all the personnel types that should be available in the personnel list. Typical values in this field will be
- Employee (full-time)
- Employee (part-time)
- Consultant
These examples show types of records in the personnel list that will require different lifecycle processes and folder structures.
Lead Type
This list contains all the Lead types that should be available in the Lead List. By default, there are two types of Leads.
- Lead
- Bid Lead
Leads and Bid Leads may have fundamentally different approaches and requirements for folder structure, which is why they are differentiated.
