Checklists is one of the most-used features in the app and is central to quality assurance in the field. Here field users fill out project-related checklists — safety rounds, receiving inspections, quality controls, and similar — directly from their phone.
Project-independent checklists are coming soon.
Checklists are driven by templates that the system administrator has created in Template Manager. The templates define questions, answer types, and which project types they apply to.

Choose a project
To fill out a checklist, you must first choose the project the checklist will belong to.
- Tap the Checklist tile in the Functions Overview
- You see a project list with a search field at the top
- Start typing the project name (minimum 2-3 characters) — the list filters in real time
- Select the desired project from the list
The project list shows only projects you have access to, based on your permissions in Business Online.
Favourite projects
For projects you work with often, you can mark them as favourites. Favourites are shown at the top of the list for quick access.
| Action | How to do it |
|---|---|
| Add favourite | Tap the empty heart icon next to the project name |
| Use favourite | Favourite projects are shown in their own section at the top of the project list |
| Remove favourite | Tap the filled heart icon to remove |
Favourites are personal and stored on your user — they are available the next time you open the app.
The project's checklists
Once you have selected a project, the project's checklist overview opens.
The screen shows:
| Element | Description |
|---|---|
| Project Information | Collapsible box with project information (department, project type, customer, project manager, start and end date) |
| Add Checklist | Button to add a new checklist to the project |
| In Progress | Active checklists (new or started). Shown at the top |
| Completed | Collapsible group with submitted checklists |
Project information
Tap the Project Information heading to expand details about the project.
Active checklists are shown as cards with:
- The checklist's title
- Category (e.g. "QHSE / Work Environment")
- Progress bar with percentage and fraction (e.g. "11% Remaining 4/35")
Add checklist to a project
- Tap + Add Checklist
- A list of available templates appears — only published templates relevant to the project type
- Each template shows title, category, and a short description
- Use the checkboxes to select one or more templates
- Tap Add to create the checklists
The button is only active when at least one template is selected. Tap X to cancel without adding anything.
If no templates appear, it means there are no published templates for this project type. Contact the system administrator.
Filling out a checklist
Tap a checklist to open and fill it out.
Top section
At the top of the checklist there is an information box with:
| Field | Description |
|---|---|
| Title | The name of the checklist |
| Reference number | A unique number (e.g. 26-00270-VR-002) |
| Progress | Percentage and fraction showing how many questions have been answered |
Sections
The checklist is organised into logical sections. Each section is shown as a collapsible card with a title and progress indicator (e.g. "4/5"). Tap a section to expand it and see the questions.
Answer types
Questions have different answer types depending on the template:
| Type | Description |
|---|---|
| SLT (Short Line Text) | Single-line text |
| MLT (Multi-Line Text) | Multi-line text |
| Number | Numeric value |
| Choice | Choose one option from a list |
| MultiChoice | Choose multiple options |
| Date | Date picker |
| Person | Person picker (e.g. participants in an inspection) |
| Attachment | File upload (image/document) |
Required and conditionally visible questions
| Property | Description |
|---|---|
| Required | Marked with a red asterisk. Must be answered before submission |
| Default values | Pre-filled values that you can change |
| Conditional visibility | Questions that only appear based on the answers to other questions |
Comments
You can add comments at two levels.
General comment
The bottom box of the checklist has a free-text field for general remarks that apply to the entire checklist. These appear in reports and exports.
The general comment box is placed below the checklist itself because a general comment from the user is only relevant after the checklist has been fully or partially filled out.
Comment per question
Each question has its own comment field. Tap the Comment arrow under the question to open the comment field, and enter your remark. The comment is saved together with the checklist answer itself.
You can enable comments independently per question — you don't need to comment on all of them.
Attachments
Questions may allow attachments. Tap the attachment icon under the question and choose a source (camera, library, or files). You can attach multiple files per question, and the attachments are uploaded on submission.
Reference links
Questions can have associated reference links pointing to relevant documentation.
| Type | Description |
|---|---|
| Web link | External URL — opens in the embedded browser |
| Governing document | Internal document from QDMS — opens in the document viewer |
The links are shown with descriptive labels (not raw URLs) and an icon indicating the type.
Not applicable (N/A)
If a question is not relevant to the situation you can mark it as Not applicable (N/A). Tap the N/A checkbox at the question. Questions marked N/A are counted as answered in the progress calculation, so you can submit the checklist even if not all questions have a concrete answer.
Deviation from a checklist
You can create a deviation (NCR) directly from a question without leaving the checklist.
- Tick the Deviation checkbox at the relevant question
- Enter a required deviation comment describing the problem
- The deviation is automatically created and linked to the checklist
Automatic field population
When the deviation is created, the following fields are filled automatically:
| Field | Source |
|---|---|
| Title | The checklist's name |
| Description | Question + answer + deviation comment |
| Project link | From the checklist's project |
| Customer link | From the project configuration |
The deviation is synchronised to the deviation system in Business Online and appears in the QHSE lists there.

Drafts
If you don't complete the checklist in one session, it is automatically saved as a draft.
| Action | How to do it |
|---|---|
| Find draft | Started checklists are shown under "In Progress" on the project page, with a status indicator |
| Continue draft | Tap the draft to open where you left off |
| Discard draft | Delete the draft using the delete function, confirm deletion |
Previous answers are stored locally so you can continue working even if you have been offline between sessions.
Submit a checklist
When the checklist is fully filled out:
- Tap Submit
- The app runs validation: - All required questions are answered or marked N/A - Numeric values and dates are within valid limits
- On valid validation, the checklist is sent to Business Online and the attachments are uploaded
- You see a confirmation with two choices: - Back to project — opens the project page - Start new checklist — start a new one in the same project
Submitted checklists move from "In Progress" to "Completed" on the project page.
After submission
| Action | Description |
|---|---|
| Notification | The project manager is automatically notified about the new checklist |
| Consolidation | For templates with Aggregation enabled, the answers are replicated to a consolidation list that can be used by external sources, e.g. Power BI reporting |
Active and completed checklists
| Group | Content |
|---|---|
| In Progress (Active) | New and started checklists — shown at the top by default |
| Completed | Submitted checklists — shown in a collapsible group |
Active checklists are prioritised in the view so you quickly find what you are working on.
Reference number
Each checklist instance receives a unique reference number when created.
Format: [Project number]-[Category]-[Sequence number]
Example: 26-00270-VR-002
| Part | Description |
|---|---|
| Project number | The project's internal number (26-00270) |
| Category | The checklist's category (VR for Vernerunde / Safety round) |
| Sequence number | Sequential number (002) |
The reference number is shown at the top of the checklist and cannot be changed after creation.
